This privacy policy describes how and when we collect, use and share information when you attend an appointment, either at one of our clinics or from a home visit, and when you make an appointment online or on the telephone. This is to comply with the General Data Protection Regulations (GDPR).

2. Information we collect
To aid your treatment or as part of purchasing something from our clinics you will normally provide us with certain information, such as your name, email address, phone number, postal address, date of birth and medical information.
3. Marketing
We do not send any marketing material via post or email – you do not need to opt out.
4. Cookies
A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

5. Why we need this information

- Where it is necessary for the purpose of the provision of health care as needed to provide our services, such as when we use your information to fulfil your podiatry assessment and treatment, or to provide customer support.

- When you have provided your affirmative consent, which you may revoke at any time, such as by signing up to our mailing list.
6. Who we share your data with
Information about our patients is important to our business. I share your personal information for VERY limited reasons and circumstances, as follows
- Medical professionals. With your consent, we will share information with medical professionals such as your GP or consultant to allow continuity of care.
- Service providers. We engage certain trusted third parties to perform functions and provide services to our business, such as external reception services. We will share your personal details with these third parties, but only to the extent necessary to perform these services.
- Business transfers. If we sell or merge the business, we may disclose your information as part of that transaction, only to the extent permitted by law and with your consent.
- Compliance with laws. We may collect, use, retain and share your information if we are legally required to.
7. How long we retain your data
We retain your personal information only for as long as necessary to provide you with our services and as described in our privacy policy. However, we may also be required to retain this information to comply with my legal and regulatory obligations, to resolve disputes, and to enforce my agreements. The retention of podiatry records is normally a minimum of 8 years after the last appointment.
8. What rights you have over your data
You have a number of rights in relation to your personal information. While some of these rights apply generally, certain rights apply only in certain limited cases.
- You have the right to access and receive a copy of the personal information we hold about you by contacting us using the contact details below.
- Change, restrict, delete. You may also have rights to change, restrict our use of or delete your personal information. In the case of health records these are normally exempt from change and deletion requests.
- You can object to (i) our processing of some of your information based on our legitimate interests and (ii) receiving marketing messages from us after providing your expressed consent to receive them. In such cases, we will delete your personal information unless we have compelling and legitimate grounds to continue using that information or if it is needed for legal reasons.
- If you wish to raise a concern about our use of your information (and without prejudice to any other rights you have), you have the right to do so with the information commissioner at www.ico.org.uk.
9. Where your data is sent
All data is saved on a third party application called WriteUpp which is owned by Pathway Software Limited.
They have been building clinical systems since 2009. They develop patient records systems for therapists in the NHS and supply systems to major health trusts in the UK used by thousands of clinicians.
